⚖️ This document is a working draft prepared to reflect how our systems actually operate. It has not yet been reviewed by an attorney; please treat it as a good-faith statement of our practices, and check back as it may be updated.
Your family trusts us in your home — we treat your information with the same care. This policy explains what we collect, why, and how we protect it.
Information we collect
- Contact & inquiry details — name, phone, email, city, and what you tell us in the call-back form, Care Match wizard, careers application, or conversations with our assistants (CARE and BABYC).
- Account & care information — when you become a client, your portal account, care recipients, schedules, visit notes written by caregivers, medications, allergies, and assessment details you or your family provide so we can deliver safe care.
- Caregiver employment information — applications, certifications, background-check status, availability, and work history for our care team.
- Location data (caregivers only) — our caregivers clock in and out with GPS verification at the service address. We record their location at those moments to verify visits; we do not track caregivers between visits, and we never collect clients' device locations.
- Payment information — payments are processed by Stripe; card numbers go directly to Stripe and are never stored on our systems. We keep invoice and payment-status records.
How we use it
- To schedule, deliver, verify, and improve your care
- To match caregivers to clients and keep credentials current
- To send service communications — schedule reminders, visit updates, invoices, and requested call-backs (by phone, email, or text)
- To respond to inquiries and applications
- To meet legal, licensing, and safety obligations, including Electronic Visit Verification requirements for applicable programs
We do not sell your information. We do not use your information for third-party advertising.
AI assistants
Our website assistants (CARE, BABYC) and in-portal helper are powered by Anthropic's Claude. Conversations are processed to answer your questions and, with your input, to create your inquiry or application record. Don't share more health detail in chat than you're comfortable with — detailed care information is better shared with our staff directly.
Who we share with
Only service providers who help us operate, under their own confidentiality obligations: Supabase (secure database), Vercel (website hosting), Stripe (payments), Anthropic (AI assistants), Resend (email delivery), and Quo (business phone & texting). We may disclose information when required by law, licensing authorities, or to protect someone's safety.
Health information
Care details, medications, and health notes are used strictly for delivering care, are visible only to your care team and our office, and are protected by access controls — family portal accounts see only their own loved one's information. Caregiver visit notes intended for family are separate from office-only notes.
Your choices & rights
- Ask us what information we hold about you, and request corrections
- Request deletion of your information (subject to records we must retain by law)
- Opt out of non-essential emails or texts at any time
- Close your portal account by contacting us
Security & retention
Data is encrypted in transit, protected by row-level access controls, and stored with reputable U.S. providers. We keep records as long as needed for care, legal, and licensing purposes, then delete or de-identify them.
Children
We provide care for children, but our website and portal are for adults — accounts and inquiries must be made by a parent or guardian.
